Order Processing Specialist

About The Position

Qognify, a computer software company, is looking for an Order Processor to join our U.S. Order Management Team. This job is located in our Pearl River, NY office, with the flexibility to work from home 2 days a week. Please do not apply if not willing to travel to the Pearl River, NY office when we reopen.

This role reports to the Operations and Supply Chain Manager (located in Ra’anana, Israel) and works in collaboration with the global team. 

The overall focus of the team is to provide sales support and order management for Sales and to own all relevant processes related to booking and billing all purchase orders. You will also support the VP of Operations with sales analysis, reporting and forecasting. To be successful in this role, you must be comfortable in a dynamic and fast paced environment, be resilient especially at month and quarter end.

What you will do?

  • Act as a liaison between customers and sales in support of the life cycle of the PO process
  • Ensure the accuracy of the PO, by reviewing and clarifying the specifications in coordination with internal resources including sales, finance, legal and other relevant departments
  • Responsible to ensure all orders are booked and billed correctly to reflect commission and region
  • Create and maintain all relevant order data in automation systems NetSuite and Salesforce (will train on systems)
  • Manage day to day escalations received from customers and internal resources including Sales, Finance, Legal and other relevant departments
  • Ensure all released processes and procedures are followed
  • Act as liaison with accounts receivable to determine billing issues and deliver resolution with team, ensure credit notes are validated and correctly processed
  • Support the process of commission reports for Sales
  • Work collaboratively with peers in Israel and Germany


What you bring?

  • 5+ years of experience in order management in a software development company or related industry
  • Ability to analysis problems of a moderate difficulty and manage and review data coming from variety of factors
  • Use judgment within defined procedures to determine appropriate action.
  • Can-do attitude and positive approach to solving problems
  • Professional and pleasant style in dealing with customers and sales team
  • Excellent time management skills to follow through on open items
  • Knowledge of CRM, will train on Salesforce
  • Knowledge of an ERP system, will train on NetSuite
  • Ability to work with a global team, respecting different cultures from all regions
